Parent consent comes first

StudyBuddy Kids is designed for homeschool families and may be used by children under 13. A parent or legal guardian must create the family account and give consent before a child profile is created or child data is collected for tutoring.

Before a child under 13 can use the service, we show the parent a direct notice, ask the parent to confirm the account email, record the parent/legal guardian attestation, and log the consent method, policy version, IP address, browser user agent, and timestamp. StudyBuddy currently uses this consent for internal educational tutoring features and service providers needed to run those features.

Parents can review, export, edit, or delete a child profile and related tutoring data from the parent dashboard. If consent is revoked or deletion is requested, StudyBuddy Kids deletes the child profile and related operational data that is no longer required to provide the service or comply with legal/security obligations.

What we collect

  • Parent account: email, password hash, family name, optional parent name.
  • Child profile: name, age, grade, avatar, preferred mascot, curriculum, subject allow-list, optional interests or parent notes.
  • Learning material: PDF/TXT files uploaded by the parent, extracted text chunks, topic tags, and embeddings used for retrieval.
  • Tutor use: child questions, mascot replies, teacher mini-lessons, session metadata, safety alerts, mastery/progress signals.
  • Voice mode: temporary browser microphone recording sent for speech-to-text when the parent/child starts voice mode; returned transcript may become a chat message.

How we use child data

We use child data only to provide tutoring, personalize explanations to the child profile and uploaded school materials, maintain parental controls, support safety alerts, and improve reliability/security of the service. We do not sell child data. We do not show behaviorally targeted ads to children.

Third-party processors

Some features require specialized processors. We send only the information needed for the requested tutoring, transcription, voice, or retrieval function.

  • Google Gemini: LLM responses and embeddings for educational retrieval.
  • xAI: speech-to-text transcription for microphone input.
  • ElevenLabs: text-to-speech playback for mascot/teacher voices.
  • 12Brain infrastructure: hosting, database, logs, uploaded material storage, and operational security.

Parent rights

Parents may review the data collected from each child, correct child profile fields, download a JSON export, and permanently delete the child profile and related data from the parent dashboard.

Parents may revoke consent at any time by deleting the child profile or contacting us. If the child profile is deleted, the tutoring service for that child ends because the profile and learning history are necessary to provide the service.

Data minimization and retention

We ask for the minimum profile information needed to tailor tutoring. Uploaded school materials, extracted chunks, messages, and progress data are retained while the child profile is active so tutors can provide context-aware help.

  • Active child profile: retained while the family uses tutoring features for that child.
  • Inactive child profile: scheduled for deletion after 18 months with no child tutoring activity, material upload, mastery update, or parent action.
  • Parent-requested deletion: child profile and related tutoring data are deleted when the parent confirms the child name in the dashboard.
  • Audit records: limited consent/export/deletion records may be retained for legal, security, and compliance evidence.
